Terms and Conditions
Singapore Muslim Festival 2025 (SMF 2025)
Date 7th – 9th February 2025
Venue: Singapore Expo Hall 6
- EXPRESSION OF INTEREST
1.1 Vendor shall submit an Expression of Interest Form to reserve a Booth at the SMF 2025 through the online portal https://forms.jamiyah.org.sg/form-booth
1.2 Upon submission of the Form, the Vendor shall receive an Acknowledgment Email.
1.3 The Organiser shall review the submission within 7 working days from the date of receipt of the Expression of Interest Form.
1.4 Upon confirmation, the Vendor shall be notified through a second email with the FULL payment instructions.
1.5 Organiser has the right to accept or reject any submission without stating any specific reasons.
2. PAYMENT POLICY
2.1 The Vendor shall make the FULL payment by the prescribed deadline as stated in the email sent to the Vendor.
2.2 Failure to make the FULL payment by the prescribed deadline shall result in the cancellation of the reserved Booth. The reserved Booth shall be released for other bookings.
2.3 Payment can be made via cheque (in favour of Jamiyah Singapore), PayNow (UEN: S61SSØØ055KJØ4, under Muslim Missionary Society Singapore), Bank Transfer (UOB Acct No: 1Ø63Ø993Ø4, under Muslim Missionary Society Singapore).
2.4 Proof of Payment shall be submitted to the Organiser through email smfbooth@jamiyah.org.sg.
3. ALLOCATION, CHANGE & CANCELLATION OF BOOTHS
3.1 Vendor shall indicate their preferred choice of Booth through the Expression of Interest Form.
3.2 The size of the Booth shall be 3m x 3m and shall include the shell scheme, WiFi, one electrical point, 2 chairs, 2 tables and the name of the Vendor on the Booth.
3.3 The allocation of the Booth shall be confirmed by the Organiser and upon Full payment.
3.4 The Organiser has the right to change the Booth allocated to the Vendor, the size and layout plan of the Booth at its discretion.
3.5 The Vendor does not have the right to transfer, exchange or sell the Booth without prior consent from the Organiser.
3.6 If the Vendor wishes to change the Booth to a higher category, the Vendor shall pay the difference in price according to the prescribed deadline.
3.7 If the Vendor wishes to change the Booth to a lower category, the Vendor is not entitled to any refund for the price difference.
3.8 The Vendor shall notify the Organiser of any intention to cancel the Booth. NO REFUND shall be given upon the cancellation.
3.9 The Organiser reserves all rights to claim from the Vendor for all losses, damages and expenses incurred due to the cancellation by the Vendor.
4. EXHIBITS & SETTING UP OF BOOTHS
4.1 The Vendor shall use the Booth for the goods and services as declared in the Expression of Interest Form.
4.2 The goods and services shall be suitable and appropriate for the objectives of the SMF 2025.
4.3 The Vendor shall staff the Booth with the necessary personnel during the opening hours of the SMF 2025.
4.4 The Vendor shall bear the responsibility and expenses for the transport and storage of the exhibits at the exhibition venue.
4.5 The Vendor shall adhere to the period stipulated by the Organiser for the setup and tear down of all exhibits in the exhibition venue.
4.6 The Vendor must complete the booth setup at least 2 hours before the start of the exhibition on each operation day.
4.7 All decorations must be kept within the confines of the Booth.
4.8 The Vendor shall not use or obstruct the passageway for any display or sale of goods.
5. ELECTRICAL WORKS
5.1 The Vendor shall engage only the Official Contractor for any or additional lighting and electrical works exceeding the standard lighting and electrical from the Official Contractor.
5.2 Costs for any additional items from the Official Contractor shall be given to the Vendor in advance.
6. SINGAPORE FOOD AGENCY (SFA) REGULATIONS
6.1 The Vendor shall submit all relevant documents to the Organiser for submission to the Singapore Food Agency (SFA) upon confirmation of the Booth.
6.2 The Vendor shall adhere to the laws, rules and regulations prescribed by the Singapore Food Agency and the Singapore Food Agency Act 2019.
6.3 Food handlers must be registered with SFA and must attend the Basic Food Hygiene Course conducted by WSQ-accredited training organisations.
6.4 Food handlers shall at all times practise a high standard of food and personal hygiene.
7. IMMIGRATION, CUSTOMS AND EXCISE REGULATIONS
7.1 The Vendor shall comply with all immigration laws, rules and regulations in Singapore.
7.2 The Vendor shall comply with the Singapore Customs & Excise Regulations when importing its goods and/or exhibits and shall be solely liable for all fines and penalties incurred as a result of non-compliance with the Singapore Customs and Excise Regulations.
8. MARKETING & PROMOTION
8.1 The Organiser reserves the right to market and promote participating Vendors as an integral part of the SMF 2025. This may include, but is not limited to, featuring vendor information, products, or services in promotional materials, social media, press releases, and other marketing collateral related to the event. Vendors hereby grant the Organiser the necessary permissions and rights to utilise their branding, images, and content for promotional purposes associated with SMF 2025.
